CALPADS Extract Files
CALPADS extracts let authorized users download state data for reconciliation with a local student information system, research, and program operations. The former list of nine extract types is no longer current: today's CALPADS organizes extracts by purpose, record type, and user access.
What changed?
What older documentation called an ODS Extract is now the RealTime Extract. RealTime files are refreshed throughout the day and no longer depend on nightly processing. Several other legacy options, including Candidate List and CALPADS assessment-result extracts, should not be presented as current extract families.
Because extract access is assigned by an LEA Administrator at the file level, your Extracts page may show fewer choices than the list below.
Current extract families
Choose the extract that matches the question you are trying to answer. Generated files are retrieved from the Submitted Extracts area in CALPADS.
RealTime Extracts
Download current Operational Data Store records by CALPADS record type. Use these files to compare CALPADS with the SIS and locate missing, extra, or different records.
The layout follows the corresponding input file and adds upload and last-updated dates. The extract record code normally adds -R.
RealTime extract guideSSID Extract
Download SSIDs and limited demographics for currently enrolled students. This is commonly used to load newly assigned or active SSIDs into the local SIS.
When an enrollment references a retired SSID, the active SSID is returned. Coordinate import rules with the SIS vendor.
SSID extract guideReplacement SSIDs
Identify retired SSIDs and the active SSIDs that replaced them, generally after a multiple-identifier resolution or merge.
Use this file to keep local identifiers synchronized and prevent future submissions under a retired SSID.
Replacement SSID guideCumulative Enrollment (CENR)
Create an unduplicated enrollment file by school, LEA, and grade for an academic year, as-of date, or selected date range.
Useful for enrollment research and cohort review; it serves a different purpose from the current-enrollment SSID Extract.
CENR extract guideRejected Records
Retrieve records rejected in Staging during batch submission. Use the error information to correct the source data before resubmitting.
This is a correction workflow, not a copy of records successfully posted to the Operational Data Store.
Submission results guideDirect Certification
Download the latest direct-certification match results for active students or students associated with a selected date range.
This specialized extract requires Direct Certification access and should be handled under local privacy and data-security procedures.
Direct Certification guideDSEA Extracts
Use the District of Special Education Accountability extracts to review special-education accountability or informational attribution data.
These files combine enrollment and special-education information with calculated attribution fields and require the appropriate SPED access.
DSEA extract guideMigrant Eligible Program Students (MEPS)
Download migrant-program eligibility results for qualifying primary enrollments associated with the requesting LEA or school.
Unlike RealTime files, the official manual states that MEPS results are updated weekly.

A practical extract workflow
- Define the question. Decide whether you need posted ODS data, rejected submission records, identifiers, enrollment history, or a specialized program result.
- Confirm access. Ask the LEA CALPADS Administrator to verify the role for the specific extract or record type.
- Use narrow filters. Select only the schools, dates, academic years, and record history needed for the task.
- Name the request. A descriptive file name makes the Submitted Extracts queue easier to manage.
- Download securely. Retrieve the completed file from CALPADS; extract files are not attached to email notifications.
- Reconcile before changing data. Confirm which system is authoritative, document the discrepancy, and preserve an audit trail.
